Position summary:

The Assistant General Manager is responsible to assist in all areas of the successful and efficient running of the property. They assist in all areas of property management including marketing, leasing, maintenance and service contracts to ensure maximum net income and property value by reducing expenses and maximizing occupancy and revenue. They interact with and guide all property staff to ensure an excellently run and maintained property and experience for our residents, and assist the General Manager as requested.

Direct Reports: Community Assistants.

The Assistant General Manager creates value by:

  • Taking responsibility for staff and residents’ problems, making sure they’re solved and treating them with genuine concern, as you would your best friend.
  • Connecting with people to demonstrate your concern and genuine desire to improve their situation.
  • Playing an active role in ensuring that the property and experience are impeccable.
  • Rolling up your sleeves and assisting team members—no job is “below your pay grade.”

Job Responsibilities:

Leasing

  • Ensure property is rented to fullest capacity and at the highest rent possible.
  • Implement marketing strategies to secure prospective tenants.
  • Process all lease applications; Receive, review, screen and file.
  • Assist in scheduling and conducting viewings as needed.
  • Prepare all rent leases (new and renewals) for approval.
  • Stay apprised of local rental market conditions.
  • Handle paperwork for third party payers and ensure payment is received.
  • Oversee and assist CA’s with tabling events and other marketing efforts.

Financial

  • Aim at all times to maximize net income by managing costs and increasing revenue.
  • Collect and record all rents and fees.
  • Ensure accurate and up-to-date recording of tenants, lease details and payment history.

Resident Experience

  • Implement community and staff standards to maintain excellent resident experience and satisfaction.
  • Deliver and require exceptional customer service to residents and parents.
  • Ensure the resolution of all tenant complaints (work orders) in an expedient and satisfactory manner.
  • Develop, implement and oversee Community Assistant program; hire, train, motivate, assign responsibilities, evaluate and fire CAs as necessary
  • Arrange community programming events to promote goodwill and student experience.

Maintenance

  • Assist all property field staff (supers, porters, contractors etc.) to ensure every aspect of the property is in excellent condition.
  • Implement the standards for excellent property cleanliness and appearance every single day, and fast response to maintenance and repair requests.
  • Oversee apartment renovations and cleaning in preparation for new tenants and assist in turnover.
  • Be available for emergency after-hours calls.
  • Work with General Manager to asses all service contracts for their value and quality.

Legal

  • Assist in necessary legal action for late/non-payment, ensuring each case is pursued to the maximum and in a timely manner.
  • Follow-up on legal, bank, or insurance requirements or recommendations to ensure timely and satisfactory resolution.
  • Assist completion of all legal filing and paperwork, ensuring it is submitted accurately and on time. (Appraisal, environmental, Survey etc.)

Administrative & HR

  • Assist the recruiting and hiring effort for new and replacement positions.
  • Speak daily to all property staff to review work schedules and responsibilities and ensure compliance and timely progress within allotted budgets.
  • Maintain relationships with all office-support vendors (IT, software, furniture).

Skills/Requirements:

  • Strong organizational skills, and is able to prioritize and follow through on multiple projects simultaneously.
  • Excellent interpersonal skills and the ability to lead and supervise others.
  • Flexible, adaptable and a team player.
  • Manifests enthusiastic self-motivation, and possesses a commitment to professional growth.
  • Be able to be on call for evenings and weekends as scheduled.
